Terms And COnDitions

Thank you for your valuable booking made with Flexiserve Chauffeurs.

The Company: Flexiserve Chauffeurs.
The Hirer/Passenger: Person who paid the funds for hire.
Day Hire: 8 hours of a calendar day or 220 km per calendar day.
Vehicles: Any vehicle used by the company for the carriage of their passengers.

Point to Point Journey: a transfer from one pick up point directly to a drop off point. If any additional services are requested during the transfer additional charges will apply.

Bookings
Bookings are accepted via phone, email or online web booking. Upon acceptance of your booking, we will issue a booking reference number, verbally or electronically.
For all correspondence regarding your booking, please quote your booking reference number. Flexiserve Chauffeurs will accept the booking with the understanding that the hirer fully accepts and agrees to the Terms and Conditions herein.Failure to finalise the account may result in a withdrawal of account facilities and transport services.

Confirmation
A written confirmation by the company is the only basis of acceptance of hiring or subsequent alterations.

Payment
The company will normally require a deposit to be paid of one third of the price of a return journey or half the price of a single journey. Deposits are non-refundable; however, they may be refunded at the discretion of the company with a view to special circumstances.
We may ask for your credit or debit card details as security for your booking, until full payment has been received. Payment may be made via credit card, debit card, or cash. Cash payment method is subject to prior approval by Flexiserve Chauffeurs.
Should any extra charges be incurred we will notify you before charging.

VAT
All payments for services and vehicles are subject to a VAT, which will be itemised on your invoice.

Departure Time
Departure and journey times may be suggested after making allowances for the day of travel and traffic conditions at these times. Flexiserve Chauffeurs will not be responsible for client’s insistence for any variation to the recommended times or delay to agreed departure time, which may result in missed flights, connections or meetings or any other loss.
Any delay during a journey caused by the passenger is solely their own responsibility. The chauffeur must not be asked to speed or drive recklessly to make up time.

Driver Locations In Dublin, Cork and Shannon
There is only one exit into the main arrivals hall. Once emerged into this hall you should proceed forward where you should find your driver, he will be displaying a sign with your name and/or company logo.
The driver has the right to refuse admission into the vehicles.
The journey from major airports to the city centre can take from 25 minutes off peak to 50 minutes during peak hours.

Luggage
Vehicles are subject to restrictions on carrying luggage for safety reasons. The hirer accepts that the chauffeur shall be the sole judge as to whether or what extent passenger’s property is carried.
Flexiserve Chauffeurs accepts personal property of the hirer and their passengers on the understanding that it will take all reasonable steps to avoid loss or damage.
The hirer should notify the company or the driver if items of exceptional value are to be carried. It is the hirer’s responsibility to minimize the risk of loss when property is left unattended. Please notify us at the time of booking should you require us to carry excess or oversized luggage.

Luggage
Toll fees are not included in our rates and if a toll route is requested this is at an additional cost. Rates quoted are inclusive of car parking.
We reserve the right to refuse to wait in un-designated areas or where a fine could be imposed. In circumstances where the chauffeur is requested to wait in one of these areas, then the hirer of the vehicle will be completely responsible for any parking fines incurred.
All our chauffeurs abide by the current laws and regulations governing speed restrictions and will not break these. All parking penalties/fines and toll fees will be chargeable to the hirer.

Waiting Time
For pick-ups from Dublin Airport, 30 minutes waiting time is included in the quoted rate (time calculated as per flight arrival time on the official Dublin Airport Authority website. For all other pick-ups, we also allow 30 minutes waiting time.

Children
By law small children require additional appropriate restraints. We neither provide nor assist in the fitting of child seats or restraints. It is the hirer/passengers’ responsibility to make sure any children in his/her care are properly secured. Please advise the booking office when children are traveling.

Accommodation
Should our chauffeur be required to travel and spend overnight in accommodation the costs will be subject to an accommodation and subsistence allowance according to an agreed rate.

Animals
Animals shall not travel without written permission from Flexiserve Chauffeurs.

Smoking
The company operates a strictly no smoking policy in all our vehicles. This includes vaping and all forms of electronic smoking.

Our Cancellation/Refund Policy
By signing the confirmation you accept and agree with the cancellation policies of this document.
The standard cancellation policy for all standard vehicles (Executive Saloon, Luxury Saloon & MPV) will be 24-hours prior to local Dublin pick up time. For pick-ups outside of Dublin, it is 24-hours plus applicable driving time from Dublin. The cancellation policy for all other services including tour guides, coordinators, and Airport greeters will be 24-hours prior to local time pick up. “No Show” fees will be charged at the transfer rate for the service booked. We always will try and contact the Client or the Booking contact before the driver is instructed to leave.
Cancellation for day trips and transfers a full payment will be debited if cancelled within 24 hours of booking date. No charge or a full refund will be provided for cancellation outside of the 24 hours. For trips of minimum two days and longer, full payment will be debited if cancelled within 7 days of arrival date. No charge will apply for cancellations outside of the 7 days.
Changes in daily timings must be made in writing no later than 1 day prior to use of the vehicle.

Delays
The company reserves the right to charge an hourly supplement in case of flight delays.

Disorderly Behaviour
The chauffeur reserves the right to refuse any passenger/s that are deemed to be under influence of alcohol or drugs and that may be deemed to be a danger or nuisance to property, passengers or other persons. No refund or compensation will be made under these circumstances. The company may request the assistance of the police to remove the offenders to protect the chauffeurs, passengers or property.

Food or Drink
Food & drink (particularly alcoholic beverages) may not be consumed on the vehicle without prior consent.
Our chauffeurs retain the right to refuse passengers from eating or drinking in the vehicle other than the mineral water provided. Should any damage occur because of the passenger’s actions to a vehicle or property, the full costs of repair and loss of income will be invoiced. In the event of vomiting in the vehicle, the cost of cleaning and loss of income will be invoiced to the hirer.

Phones
All our vehicles carry mobile phones. Clients may use this facility provided it is safe to do so, for a fee.

Gratuities
Tipping or gratuities are purely at the passenger’s discretion and may be paid directly to the driver on the day. If you wish to have the gratuity as part of the tax invoice, please advise the booking office prior to the journey taking place.

Subcontractors
An additional surcharge will be added to all bookings for services provided on Bank or Public Holidays of 25% and 100% on Christmas day.
Parking, Toll Charges and congestion zone charges and porterage or freight costs, will be charged if incurred. All out of hour’s bookings i.e. from 00.01 hrs to 06.00hrs will incur an additional 20% surcharge.

Subcontractors
Flexiserve Chauffer reserves the right to use subcontract chauffeurs when needed. However, all services will be provided as per these Terms and Conditions.

Complaints Procedure
In the unlikely event that you should have cause for complaint, any complaint must be made in writing within 14 days. Our investigation will determine validity and if necessary, an independent assessment will be commissioned. If it is found that Flexiserve Chauffeurs have been at fault in not supplying the service that you have asked us to provide, then a refund may be applicable. All refunds will be made on an individual basis and any refund will be made appropriate to the nature of the complaint and limited to the amount paid for the hire.

Arbitration
Disputes can only be resolved in an Irish Court of law. Complaints must be made in writing, within one week of last usage of services, date and postmark will apply.

Insurance, Loss or Damage
Our vehicles are fully insured for passenger or third-party claims; however property is carried at the passengers’ own risk. Flexiserve Chauffeurs will not be held responsible for loss or damage to property.
Clients will be responsible for any damage caused to Flexiserve Chauffeurs property or to property visited on tour by them due to improper conduct.

Liabilities and Delays
Every effort will be made to get you to your destination on time. Flexiserve Chauffeurs is not liable for any loss due to delays caused by unforeseen circumstances such as but not limited to – mechanical breakdown, unpredictable incidents, traffic jams, road works, road closures, diversions, extreme weather conditions, collisions caused by other parties or terrorist attacks. The company may cancel all services and may refund in the event of circumstances beyond our control.
Our Chauffeurs will choose a route using their experience & knowledge of local conditions. They will be happy to accept an alternative route as requested by passengers. However, should this result in extra miles or time, an extra charge may be levied.
In the instance of last-minute mechanical breakdown, exceptional traffic difficulties, incidents, accidents or any events beyond our control, we will endeavour to supply another vehicle from our extensive fleet of vehicles and/or contact base.

Vicarious Liability
A hirer acts on behalf of all the passengers travelling. If the hirer is a corporation, society or group an individual must be named as a responsible person. The hirer is responsible for all actions of passengers on board including any additional costs incurred, whether or not they travel with the party. The company can only accept instructions from the hirer or their appointed agent.
The vehicle will depart at times agreed by the hirer, subject to reasonable period of grace; it is the responsibility of the hirer to account for all passengers at those times. The company will not accept liability for losses incurred by passengers who fail to follow hirer’s instructions.

Customer Satisfaction
Your vehicle should be presented in pristine condition. The driver will be courteous and helpful in every way possible. Should our standard not match your expectation, you can let us know by calling us on any office numbers on our website.

General Information
We strongly advise passengers to take an overnight bag on the flight to include some clothing items and wash utensils. Luggage may be lost and this will help you through your first 24 hours. Always take your medication or tablets on board a flight.
The Company (Flexiserve Chauffeurs) does not accept responsibility for errors in the confirmation on which changes have not been advised to us.
The company reserves the right to offer a similar or better standard vehicle in the case where the booked
vehicle has experienced a defect or another situation beyond our control.
The company will provide a clean and tidy vehicle, in respect the hirer is obliged to leave the vehicle in the standard it was received. Costs of repair, reinstatement or cleaning will be borne by the hirer. If necessary, a cleaning charge will be forwarded to the hirer; please note cleaning such as vomiting is subcontracted to a third-party company. This is very expensive.
All passengers are required by law to use seat belts provided. Our chauffeurs will not commence the journey until all legal requirements are being complied with.

Acceptance
By proceeding to book a ride with us, you agree that you have read, understood and accept these Terms and Conditions, and you agree to its contents.
